Zapier vs Microsoft Power Automate: Which Should a UK Small Business Use?

For most UK small businesses, the honest answer is: Power Automate if you're already deep in Microsoft 365 or Dynamics and want automation that's effectively included in a licence you're paying for anyway; Zapier if your tools are spread across a wider mix of apps and you want something a non-technical team can build and read without training. Power Automate is genuinely strong inside the Microsoft ecosystem — SharePoint, Teams, Outlook, Dynamics — and weaker the moment you step outside it. Zapier is the more even choice across a broad, mixed toolkit.

What's the core difference between Zapier and Power Automate?

Zapier is a standalone automation platform designed to connect thousands of apps from any vendor, with a linear, plain-English builder aimed at non-technical users. Power Automate is Microsoft's own automation tool, built into the Microsoft 365 and Power Platform ecosystem, and it shows: connections to Microsoft products are deep and often free within an existing licence, while connections to non-Microsoft tools are thinner and sometimes require a premium connector add-on.

When does Power Automate win for a UK small business?

If the business runs largely on Microsoft 365 — SharePoint document libraries, Teams approvals, Outlook-triggered workflows, Dynamics 365 records — Power Automate's native depth in those products is hard for Zapier to match, and a chunk of that functionality may already be covered by licences you hold. It also tends to suit businesses with some in-house technical capability, since more advanced flows lean on concepts (expressions, connectors, environments) that go beyond Zapier's simpler model.

When does Zapier win for a UK small business?

Once the toolkit spreads beyond Microsoft — a CRM, an accounting package, a booking tool, a form builder, a handful of niche apps — Zapier's breadth of native integrations and its readability for non-technical staff tend to matter more than Power Automate's Microsoft-native depth. A team without a dedicated IT resource usually finds Zapier's "when this happens, do that" builder easier to maintain without outside help.

What about cost?

Power Automate is often bundled, in a limited form, with Microsoft 365 Business Premium and above, which can make it look free — but premium connectors (needed for many non-Microsoft apps) and higher-volume plans add licensing cost and complexity that's easy to underestimate. Zapier's pricing is usage-based and transparent by comparison, though it can become the pricier option at high task volumes. Worth checking both current pricing pages directly, since plans shift.

Can you use both?

Some businesses do, using Power Automate for the Microsoft-native workflows (SharePoint approvals, Teams notifications) and Zapier for everything else, connected where useful. It's a reasonable split for a business genuinely straddling both worlds, though it's an extra system to maintain, so it's worth confirming the need rather than defaulting to it.

The starting question is the same regardless of platform: what does your business actually run on, and who needs to understand and adjust this automation after it's built? For businesses spread across a mixed toolkit, that usually points to Zapier; for businesses deeply embedded in Microsoft 365 with technical support available, Power Automate is a reasonable choice — just one I'd want to pressure-test against your specific tools before recommending.
