How much does a Zapier consultant cost in the UK? Honest 2026 price ranges, what drives the cost, and how to know the build will pay for itself.

You've Googled “how much does a Zapier consultant cost” and found a wall of “it depends.” Useless. So here's a straight answer with actual numbers, from a Zapier Silver Solutions Partner in the UK who quotes this stuff every week.

What a Zapier consultant costs in the UK

Ballpark, because every business is different, but you deserve real figures: a focused build automating one or two processes typically lands between £750 and £2,000. A full multi-system build — CRM, project tool and accounts all talking to each other — runs from £2,500 upwards depending on complexity. Day rates for UK automation consultants sit roughly in the £400–£800 range; ongoing support is usually a modest monthly retainer rather than a lock-in.

What actually drives the price

Three things move the number. How many tools need connecting (two apps is cheap; eight is a project). How messy the current process is (tidy processes automate fast; chaos needs untangling first). And how many exceptions there are — the weird edge cases that need handling so the automation doesn't fall over. Anyone quoting without asking about these is guessing.

Day rate vs project vs retainer

Project pricing is best for a defined build — you know the cost up front. Day rates suit exploratory or ad-hoc work. A retainer makes sense once you've got automations running and want them watched, tweaked and added to. Most people start with a project and move to a small retainer once they see the time coming back.

How to know it's worth it

Flip the question. If admin eats ten hours a week across your team, that's around 500 hours a year. Price those at what your time bills for, and a build that removes even half of them pays for itself fast. The honest test isn't “what does it cost” — it's “what is the manual version already costing me, quietly, every week.” I've written on why those costs hide in the handoffs between tools.

Frequently asked questions

How much does a Zapier consultant cost in the UK? Focused builds typically start at £750–£2,000; larger multi-system builds from £2,500 up. Day rates are roughly £400–£800.

Is it cheaper to just do it myself? For your first couple of simple Zaps, yes — and you should. A consultant earns their fee on the complex, multi-tool, exception-heavy builds that break when you DIY them.

Do I pay ongoing fees? Only if you want support. A retainer to monitor and extend your automations is optional, not a lock-in. You own the Zaps either way.

How long does a build take? A single well-mapped process is days, not months. A full enquiry-to-invoice chain is a few weeks including testing.
