Type "Zapier consultant UK" into Google and you will find two types of results. The first is Zapier's own experts directory — useful but limited in context. The second is a long list of people who have given themselves the title "Zapier expert" with no external verification of whether that is actually true.
There is no regulatory body for Zapier consultancy. No licensing requirement. No barrier to entry beyond having a Zapier account and a website. The person who built two Zaps last Tuesday and the person who has built five hundred over five years look identical in search results.
This guide is for UK businesses who want to hire a Zapier consultant properly — knowing what to look for, what to ask, and what should be in the scope before you sign anything.

Client onboarding. Invoice generation. Lead routing. CRM sync. These are processes where a broken automation has a real cost — a missed lead, a late invoice, a client who falls through the cracks. When the stakes are high, DIY Zapier is a risk that is hard to justify.
They have outgrown their current setup
What worked at 5 people does not work at 25. The Zap stack was built incrementally, nobody documented it, and now it is a fragile web of automations that only one person understands. That person just handed in their notice.

The Certified Expert level is based on passing Zapier's training. Useful but low bar — anyone can pass an exam.
Silver Solutions Partner and above require Zapier to verify a demonstrated track record of real client work. This is the meaningful threshold. A Silver Partner has built real automations for real clients and had that work reviewed by Zapier. A Gold or Platinum Partner has done this at higher volume and complexity.
When evaluating a consultant, search for them at zapier.com/experts. If they claim to be a Solutions Partner but do not appear in the directory, the credential is not current.

- Error handling built in from the start — not an afterthought. Every production Zap should have a monitoring and alerting plan
- Documentation as a deliverable — a plain-English record of what each Zap does, what triggers it, and what to do when it breaks
- Handover and testing — the Zaps should be tested with real production data before the engagement closes, not just with clean sample data
Red flags to watch for
- They quote without asking about your workflows
- No mention of error handling or monitoring
- Documentation is optional or an extra
- They cannot explain a Zap failure scenario for your specific use case
- They do not appear in Zapier's partner directory despite claiming a Solutions Partner badge
- They promise things Zapier cannot do — such as real-time triggers for apps that only support polling
