Software for chartered surveyors: an honest guide
What software a UK chartered surveying firm actually needs in 2026, what each type does, and how to avoid paying for things you will never use.
There is a lot of software sold to surveyors and most firms end up with a slightly random collection of it. This is a plain guide to what the categories are, what you genuinely need, and what you can skip.
The four categories
Almost everything sold to survey firms falls into one of these. Confusing them is how firms end up paying twice for the same job.
Report writing. Produces the survey document. RICS-compliant templates, photo handling, site notes, offline mode for when there is no signal in a cellar.
Job and client management. The CRM. Tracks enquiries, quotes, instructions, jobs, clients and invoicing.
Accounts. Xero or QuickBooks for most UK firms. Not surveyor-specific and does not need to be.
The wiring. Whatever connects the above so information moves between them without a human copying it. Zapier, or a bespoke build.
Most firms have the first three and nothing for the fourth. That gap is where the admin hours go.
What a small firm actually needs
If you are a sole trader or two or three people, you need a report writing tool, accounts, and something that stops jobs slipping. That third thing can start as a well-built spreadsheet, honestly, but it will not last past about thirty jobs a month.
You do not need dashboards, forecasting, or anything with "AI" in the marketing. Not yet.
What a growing firm needs
Once you have staff, the calculation changes. You are no longer just tracking your own work, you are coordinating other people's. That is when a proper job management system stops being optional, because the cost of a dropped job is now someone else's mistake that lands on you.
This is also the point where firms usually hire an admin person. Worth pricing that against a system before you do, because at £2,000 to £4,000 a month for a hire, the software comparison is not close.
Questions to ask any vendor
What happens to my data if I leave? You want a clear, boring answer.
Is it per user? Per-seat pricing punishes you for growing. Know the number at five people, not one.
Does it handle my specific services? Be concrete. Name your three most awkward job types and ask exactly how each is handled.
What connects it to my accounts? If the answer is "you export a CSV", that is not an integration.
Who configures it? The gap between software bought and software working is configuration, and it is where most disappointment comes from.
The honest trade-off
Purpose-built surveyor products give you industry integrations and templates on day one, and a support team. They also make you work their way.
A bespoke system built on tools you already pay for fits how your firm actually runs and changes when you ask. It costs more to set up and depends on whoever maintains it.
Where to start
Do not buy anything this week. Instead, write down every task in your week that involves typing the same information twice, and every job that slipped in the last three months.
That list is your requirement. Take it to two vendors and see who answers it honestly.
