ClickUp for surveyors: can you actually run a survey firm on it?
An honest look at using ClickUp to run a surveying practice. What it does well, where it falls short, and how to set it up properly.

Short answer: yes, and rather well. But not out of the box, and not for everyone.
I am a ClickUp Verified Consultant and I build survey firm systems on it, so treat this with the appropriate pinch of salt. I will try to be honest about where it is the wrong choice.
What ClickUp is, for anyone who has not used it
It is a work platform. Lists, tasks, custom fields, statuses, views, dashboards, automations. Think of it as a very flexible database that happens to look like a to-do app.
That flexibility is the whole point. It is why it can become a survey firm CRM, and also why an unconfigured ClickUp is a mess.
Where it fits a survey firm
Every job is a task. One record per instruction, holding the property address, client, survey type, fee, status and every note and email against it. That is your single source of truth, and it kills the spreadsheet.
Your workflow becomes statuses. Enquiry, quoted, instructed, booked, inspected, report drafted, invoiced, paid. You can see at a glance where every job sits without running a report.
Custom fields do the heavy lifting. Survey type, fee, agent, solicitor, access details, target report date. Once these exist as structured data rather than notes, everything downstream can use them, which is what makes automation possible.
Automations handle the nudging. Status changes trigger tasks, reminders and notifications. Report not drafted five days after inspection? It tells you.
Dashboards for the numbers. Jobs won this month, conversion rate on quotes, average time from instruction to invoice. Useful once you have a few months of data in there.
Where it falls short
It is not surveyor-specific. There is no RICS report template, no integration with GoReport or Survey Hub, no built-in understanding of a Level 2 versus a Level 3. Purpose-built products have that out of the box. If those integrations are critical to you, weigh that seriously.
It does not write reports. ClickUp manages the job around the report. It does not produce the document. You still need your reporting tool.
An unconfigured ClickUp is worse than a spreadsheet. This is the real risk. Firms sign up, create a few lists, never build the structure, and abandon it in six weeks. The flexibility that makes it powerful makes it useless without a proper setup.
It needs wiring to be automated. ClickUp automations are decent but limited. To connect your website form, your email and Xero you need Zapier alongside it, which is another £20 a month and another thing to configure.
What a proper setup looks like
The firms where this works have four things in place.
A single list for jobs, with statuses matching how they actually work, not how they think they should work. Custom fields for everything a later automation will need to read. A form feeding enquiries straight in, so nothing is typed twice. And automations connecting it outward to email and accounts.
That configuration is a day of work if you know what you are doing and several frustrating weekends if you do not.
Should you use it?
Use ClickUp if your firm has service routing or workflows that off the shelf products cannot handle, if you want one system for jobs and everything else the business does, or if you want to own your setup rather than rent someone's product roadmap.
Use a purpose-built surveyor product if you want RICS templates and industry integrations on day one, and your workflow is fairly standard.
Neither answer is wrong. They suit different firms.
