ClickUp vs Notion for Agencies: Which Actually Fits?

July 21, 2026

ClickUp vs Notion for agencies: where each one wins, where it hurts, and how to pick the right home for your agency's work. An honest UK consultant's take.

By Jack Lenton — ClickUp Verified Consultant & Zapier Silver Solutions Partner.

Every agency hits the same fork: ClickUp or Notion? They look similar from the outside — both promise to be the one place your work lives. They are not the same thing, and picking wrong costs you months. Here's the honest comparison from a ClickUp consultant who rates Notion too.

ClickUp vs Notion: the short version

Notion is a brilliant document and knowledge tool that can do light project management. ClickUp is a serious project and work-management tool that can also hold docs. If your agency's pain is scattered knowledge and messy wikis, lean Notion. If it's work falling through cracks — tasks, deadlines, capacity, delivery — lean ClickUp.

Where Notion wins

Notion is unbeatable for a company wiki, SOPs, client-facing docs and anything that's mostly writing. It's beautiful, flexible and people enjoy using it. For a small agency that mainly needs a shared brain and a few simple task lists, Notion can genuinely be enough — and cheaper to run.

Where ClickUp wins for agencies

The moment you need real delivery management — who's doing what, by when, at what capacity, across every client — ClickUp pulls ahead. Custom fields, multiple views (board, Gantt, workload), automations and dashboards are built for exactly the throughput an agency runs on. Notion can approximate this; it starts to strain where ClickUp was designed for it. If you want the detail, my guide to ClickUp views shows what that depth looks like.

Which should your agency pick?

A rule that holds up: if most of your chaos is words, pick Notion. If most of it is work, pick ClickUp. Plenty of agencies end up running both — Notion for the wiki, ClickUp for delivery — and connecting them with automation so nothing's typed twice. That's a perfectly good answer, not a cop-out.

Frequently asked questions

Is ClickUp or Notion better for a small agency? If your main need is docs and knowledge, Notion. If it's managing delivery, deadlines and capacity, ClickUp. Match the tool to your biggest source of chaos.

Can I use both ClickUp and Notion? Yes, and many agencies do — Notion for the wiki, ClickUp for the work — connected with automation so data isn't duplicated.

Is Notion cheaper than ClickUp? Often slightly, especially at small scale. But the cost that matters is work slipping through gaps, which a proper delivery tool prevents.

How hard is it to switch later? Easier than you fear if someone maps the structure first. The pain comes from migrating without a plan, not from the tools.
