Automation for Accountants and Bookkeepers: Where to Start

If you run an accountancy or bookkeeping firm, your bottleneck usually isn't the accounting — it's the chasing. Chasing records, chasing signatures, chasing the client who always sends their receipts the day before the deadline. That chasing is exactly what automation is best at, and it's where most firms should start.

Why accountancy firms are ideal automation candidates
Three features make a process worth automating: it's high-volume, it's rule-based, and it's deadline-driven. Accountancy work is all three at once. The same onboarding happens for every client. The same documents get requested every period. The same deadlines recur on a calendar you could set your watch by. That regularity is automation gold — the more predictable the pattern, the more reliably software can run it.
The four workflows to automate first
1. Client onboarding. New client signed → engagement letter sent, secure folder created, record-request checklist issued, and a structured job created in your practice management or project tool. First impressions standardised, and nothing forgotten in the handover.
2. Document and records chasing. The big one. Automated, escalating reminders that request missing records and follow up politely but relentlessly, so your team stops spending billable hours writing "just a gentle nudge" emails. The software never feels awkward about the third reminder.
3. Deadline tracking. Each client's filing dates drive a reminder workflow that flags approaching deadlines and triggers chases for anything still outstanding. Deadlines stop depending on someone remembering to check a spreadsheet.

What to keep human
Automate the admin, never the advice. The judgement calls — the tax planning conversation, the tricky reconciliation, the difficult call about a client's cashflow — stay firmly human. What you're automating is the wrapper around that expertise: the requesting, reminding, logging, and routing. Done well, automation gives your qualified people more time for the work only they can do, not less.
A note on data
Financial data deserves care. The right approach is data minimisation — each automation touches only what it genuinely needs, access is limited, and there's a clear record of what flows where. Speed is the easy part; designing automation that's both fast and appropriately careful with sensitive records is where an experienced hand matters.

Do I need to replace my practice management software? Almost never. Most firms already own tools with unused automation capability, and Zapier bridges whatever needs connecting between them. New software is a last resort, not a starting point.
