How to Connect ClickUp and Zapier: An Integration Guide
How to connect ClickUp and Zapier properly: the setup, the five integrations worth building first, and the mistakes to avoid. From a partner in both.

Connecting ClickUp and Zapier takes about four minutes: in Zapier, add ClickUp as an app, sign in to authorise it, and choose the Workspace it can see. Done. The four minutes isn't the hard part. Knowing what to build once they're connected is — and that's what this guide is actually about.
I'm Jack from Toki, a Norwich automation consultancy. We're one of the few UK outfits that's both a ClickUp Verified Consultant and a Zapier Silver Solutions Partner, which means I spend most weeks wiring these two tools together for clients. Here's the version of that work you can do yourself.
Why connect ClickUp and Zapier at all?
ClickUp's native automations are excellent inside ClickUp — status changes, assignments, templated task chains. But your business doesn't live inside ClickUp. Enquiries arrive in web forms, money lives in your accounts package, conversations happen in email. Zapier is the bridge: when something happens in any of those tools, it can create, update or find things in ClickUp — and vice versa.
The rule of thumb I use on every Toki build: if the whole process lives in ClickUp, use ClickUp's native automations; the moment a process crosses into another tool, that's a Zap. Native automations don't consume your Zapier task allowance, so this split also keeps costs down.
The setup, step by step
1. Authorise the connection. In Zapier, create a new Zap, choose ClickUp as an app, and sign in when prompted. Connect it at the Workspace level and check exactly which Spaces it can access.
2. Decide the direction. Every Zap has a trigger side and an action side. "Form submitted → create ClickUp task" flows into ClickUp. "Task status changed to Complete → send invoice draft" flows out. Write the sentence in plain English before you build anything; if you can't say it in one sentence, it's two Zaps.
3. Map the fields carefully. This is where integrations quietly go wrong. Decide which ClickUp List new items land in, which custom fields get filled, and what the task name format is. "New enquiry" forty times is useless; "Enquiry — [Name] — [Service]" is a pipeline.
4. Test with real data, twice. Once with a normal case, once with an awkward one — a missing phone number, an odd character in a name. The awkward test is the one that matters.
The five ClickUp–Zapier integrations worth building first
Enquiry capture: web form → ClickUp task in your sales List, custom fields filled, assigned, acknowledged by email. Speed to first response wins work.
Client onboarding: deal marked Won → project created from template, folders spawned in your drive, kickoff email sent. First impressions, standardised.
Invoice trigger: task hits "Ready to invoice" → draft raised in your accounts tool. The gap between finishing work and billing it is where cashflow leaks.
Meeting to action: booking confirmed in your calendar tool → prep task created with the details attached. No more morning-of scrambles.
Escalation alert: task overdue past a threshold → message to whoever needs to know. Quiet failures become loud ones, which is the point.
The mistakes that break ClickUp–Zapier integrations
Three I see constantly. Loops: a Zap updates a task, which triggers a ClickUp automation, which changes a field, which re-triggers the Zap — always check what your actions might re-trigger. Renaming things: Zaps reference specific Lists and fields; rename or move them and the Zap fails, usually silently. Agree that structure changes go past whoever owns the automations. No error alerts: Zapier can email you when a Zap errors — turn that on before you build anything else. I've written more on why Zaps break, and it's rarely the software.
Frequently asked questions
Do I need a paid Zapier plan to connect ClickUp? The connection itself works on any plan, but multi-step Zaps — which most useful business integrations are — need a paid tier. Check Zapier's current pricing page for where the line sits, as it moves.
Should I use ClickUp automations or Zapier? Both. ClickUp native for anything entirely inside ClickUp; Zapier when the process touches another tool. That split gives you the most capability for the least cost.
Can Zapier move my existing data into ClickUp? Zapier handles ongoing flows, not bulk history. For migrating existing projects, use ClickUp's importers, then let Zapier handle everything new from that point on.
