Automating enquiry to invoice for survey firms

How to automate the full journey from enquiry to invoice in a survey firm, step by step, without buying software that does not fit.

Most automation advice starts with the tool. That is the wrong end.

Start with the journey. In a survey firm it is always roughly the same shape, and once you see it written out, the places where a machine should take over become obvious.

The journey

Enquiry, quote, instruction, booking, inspection, report, invoice, payment, review.

Nine steps. A human genuinely needs to do three of them: the inspection, the report, and putting a price on the quote. The other six are moving information from one place to another and reminding people about things.

Six out of nine is why automation works so well in this industry.

Step by step, what to automate

Enquiry capture. Put a proper form on your site. Not a "contact us" box, a form that asks for property address, survey type, and the client's details. That form should create a job record automatically. This one change removes most of the re-typing that follows, because every later step reads from that record.

The quote. You put the number in. Everything else, the client's name, the address, the survey type, the terms, should populate itself and send. If you are writing quotes from scratch you are spending twenty minutes on something that should take two.

Follow-ups on quiet quotes. Automatic nudge at day three, another at day ten. This is the highest return automation in the whole chain and it is usually the easiest to set up.

Instruction and booking. When the client says yes, the job status changes, you get told to book it in, and the client gets a confirmation without you writing one.

Keeping the chain updated. Sellers, agents and solicitors all want to know what is happening. Access details, appointment times, report timings. These are templated messages triggered by a status change. There is no reason a human should be typing them.

The invoice. Raised in Xero or QuickBooks from the job record, sent, and chased if unpaid at seven, fourteen and twenty one days. You should not have to open your accounts software to send an invoice.

The review request. Sent a few days after the report lands, while the client is still pleased with you. Most firms mean to do this and never do.

The tools

You need three things and they are cheaper than people expect.

A place for the work to live, which is your CRM. A form tool to capture enquiries. And something to wire it all together.

For the systems I build, that is ClickUp from around £12 a month, Zapier from around £20 a month, and Youform which is free. Under £35 a month in software to run the whole thing.

The cost is not the subscriptions. The cost is the thinking: mapping your actual service routing, handling the edge cases, and getting the email logic right so it sounds like you rather than like a robot. That is the part that takes a person.

Do not automate everything at once

The firms that succeed at this pick the worst single task and fix that first. Usually it is the quote follow-up or the invoicing.

Get one thing running end to end. Watch it work for a fortnight. Then do the next one.

The firms that try to build the whole chain in one go tend to end up with something fragile that nobody trusts.
