The gap between winning a deal and delivering it
The moment a deal is marked Won in Pipedrive, three things need to happen. A project needs to be created in ClickUp. The client needs to be added to Xero. And somebody needs to know it has happened.
In most businesses, none of this happens automatically. The account manager copies the deal details into a ClickUp task by hand. The finance person creates the Xero contact a week later when they remember. The delivery team finds out about the new client because someone mentions it in Slack.
Pipedrive is the most common CRM for UK agencies and consultancies after HubSpot. Connecting it to ClickUp and Xero via Zapier eliminates this manual handoff entirely. When a deal is won, the project exists in ClickUp within seconds and the client exists in Xero within the same automated run.
As a Zapier Silver Solutions Partner working with UK businesses, this is one of the most common integrations I build. Here is exactly how to do it.
Why Pipedrive users need Zapier
Pipedrive has some native automation built in, but it is limited to actions within Pipedrive itself. You can move a deal to a different stage automatically, send an internal notification, or update a field. You cannot create a ClickUp project, generate an Xero invoice, or post to Slack from a native Pipedrive automation.
Zapier is the bridge. It watches Pipedrive for the events that matter and takes action in your other tools when they happen. The integration is reliable, the Pipedrive connector is well-maintained, and the setup is well within reach for most business operators even without a technical background.
The four Pipedrive integrations worth building
1. Deal Won in Pipedrive triggers ClickUp project creation
The most valuable integration for most agencies. When a deal moves to Won in Pipedrive, Zapier creates a new project in ClickUp from a template — tasks pre-populated, assignees set, due dates calculated from the deal's expected close date, and the Pipedrive deal URL added as a Custom Field so the delivery team can see the CRM context without leaving ClickUp.
The filter matters here. Configure the Zap to only fire when the deal stage changes specifically to Won, not on every stage change. An unfiltered Pipedrive stage change trigger will create a ClickUp project every time a deal moves between qualification stages, which is not what you want.
2. New Pipedrive contact triggers Xero contact creation
When a new organisation or person is created in Pipedrive, Zapier creates a matching contact in Xero. This keeps your CRM and accounting system in sync from day one rather than having finance manually create contacts weeks after the deal was signed.
UK-specific note: when mapping fields to Xero, include the account code and tax type explicitly. These fields are marked optional in Zapier but required for UK Xero accounts. Omitting them creates contacts that cause validation errors on the first invoice.
3. Pipedrive activity completed triggers ClickUp status update
When a specific activity type is marked complete in Pipedrive — a signed proposal, a kick-off call, a contract review — Zapier updates the corresponding project status in ClickUp. This keeps delivery informed about sales milestones without requiring your sales team to log into ClickUp and vice versa.
4. ClickUp project delivered triggers Pipedrive deal update
The reverse flow. When a project is marked Delivered in ClickUp, Zapier updates the deal in Pipedrive — adding an activity log note, updating a custom field, or moving the deal to a retention or renewal pipeline stage. Your account managers can see delivery milestones from Pipedrive without checking ClickUp.
The mistakes that create data problems
The most common issue: no filter on the Pipedrive trigger. Every deal stage change fires the Zap, ClickUp fills with projects for deals that are still in qualification, and the team learns to ignore the noise. Always filter to the specific stage that signals genuine work should start.
The second most common: wrong field mapping. Pipedrive deal names are often short and abbreviated. A task called SB - Web Build tells the delivery team nothing. Map a combination of fields — organisation name plus deal title — to create a ClickUp task name that actually orients someone who was not on the sales call.
The third: no error handling. A failed Zap that does not alert anyone means a project that was never created, discovered days later when the client emails asking for an update. Set up an error notification Zap that alerts your team in Slack or email when any Zap in your account fails.
