Seven automations every survey firm should have

The seven automations that make the biggest difference to a UK survey firm, ranked by how much time and money they save.

Ranked by return, not by how clever they are. Start at the top and work down. Most firms have none of these, and the first three alone change how a week feels.

1. Chase the quiet quotes

A polite nudge three days after the quote goes out, another at day ten.

This is first because it is the only one that directly wins you work you were otherwise going to lose. Most firms send zero follow-ups. Clients go quiet through inertia, not rejection, and a nudge recovers a surprising number of them.

If your average fee is £600 and this recovers two jobs a month, that is £14,400 a year from one automation.

2. Enquiry straight into the system

A proper form on your website that creates the job record automatically. Property address, survey type, client details, captured once by the client.

Second because it is the foundation. Every automation below reads from this record. Without it you are still typing, and everything downstream stays manual.

3. Invoice raised from the job

When the job hits invoiceable, the invoice is created in Xero or QuickBooks from the job record, on the right template, and sent.

You should not have to open your accounts software to send an invoice. Add automatic payment reminders at seven, fourteen and twenty one days and let the system be the one doing the nagging.

4. Client updates on status change

Confirmation when they instruct. Appointment details when it is booked. A heads up when the report is coming.

These are messages you would write anyway. Templated and triggered by a status change, they go out reliably instead of when you remember. Clients read this as good service, which it is.

5. Keeping the chain informed

Sellers, agents and solicitors chasing you for access details and timings is one of the most interrupting parts of the week.

Automate the updates outward and the phone stops ringing about things the system could have told them. This is the one that survey firms are most surprised by, because they had assumed it was unavoidable.

6. Review requests

Sent a few days after the report lands, while the client still remembers being pleased.

Reviews compound. They win you work for years and cost nothing. Almost every firm intends to ask and almost none actually does, because the moment passes.

7. Reconnecting with past clients

A gentle touch to clients from two or three years ago. People move, extend and buy again, and the firm that stayed in touch gets the call.

Last on the list because the return is slower. But it is close to free once it is running, and it is the one that quietly builds a book of repeat work.

The build is the real cost, because someone has to map your services, handle your edge cases, and write email logic that sounds like you rather than a robot. Get that wrong and clients notice immediately.

Pick the top one. Get it live. Watch it for a fortnight. Then the next.
