How Much Does Business Automation Cost for a UK Small Business?

August 20, 2026

What does business automation actually cost a UK small business? An honest breakdown of platform fees and consultant pricing, not a vague "it depends."

For a UK small business, business automation costs land in two separate places: the platform subscription itself (Zapier or ClickUp, typically anywhere from free up to a few hundred pounds a month depending on usage) and the cost of getting it set up properly, whether that's your own time or a consultant. A focused automation project with a consultant typically runs somewhere between £800 and £3,000 for a small business, rising to £3,000–£8,000+ for more complex, multi-department builds. That's the number most people actually want when they ask this question, so it's worth leading with.

I'm Jack Lenton, a ClickUp Verified Consultant and Zapier Silver Solutions Partner running Toki, an automation consultancy based in Norwich. Here's the fuller breakdown.

What does the software itself cost?

Zapier and ClickUp both offer free tiers that cover genuinely useful functionality for a very small business, with paid plans scaling from roughly £15–£30 a month per user up toward a few hundred pounds a month as usage and team size grow. Most small businesses land somewhere in the low-to-mid tier once they're running real automations rather than a handful of test Zaps.

What does it cost to get help setting it up?

Consultant pricing generally falls into a few shapes: hourly or day rates (typically £75–£150 per hour, or £500–£900 per day), project-based builds (£800–£3,000 for a focused small-business setup, more for complex multi-system builds), or ongoing retainer support (often £300–£800 a month). Which shape makes sense depends on whether you need a one-off build or steady, continuing improvement.

What actually changes the price?

  • How many systems need connecting — a simple form-to-task automation costs far less to build than a stack spanning CRM, accounting and task management
  • How messy the current setup is — untangling three years of ad hoc spreadsheets takes longer than starting clean
  • Whether training and documentation are included — a build nobody can maintain is a false economy regardless of the upfront price

Is it worth the cost?

The simplest way to check is to put a number on the time currently being lost. If a team is losing five hours a week to manual admin, and that time is worth even £50 an hour, that's £250 a week — meaning a £2,000 build pays for itself in roughly eight weeks, before counting the harder-to-measure benefits like fewer dropped handoffs and less team frustration.

How Toki prices automation work

Every engagement starts with a discovery conversation and a proposed scope you can review before committing to a number — not a quote before anyone's understood what your business actually needs.

Frequently asked questions

How much does business automation cost for a UK small business?
Platform subscriptions typically range from free up to a few hundred pounds a month. A consultant-led setup project usually costs £800–£3,000 for a focused small-business build, rising to £3,000–£8,000+ for more complex, multi-system work.

Is business automation worth the cost?
Usually, if the business is already losing meaningful time to manual admin. A rough calculation — hours lost per week multiplied by an hourly value — is often enough to show a build pays for itself within a few months.

Can I automate my business without paying for a consultant?
Yes, for straightforward automations — both Zapier and ClickUp are designed to be usable without technical help. A consultant tends to add the most value once the setup spans multiple systems or the in-house time to figure it out becomes its own cost.
