First: what each tool is actually for
ClickUp is a project management and operations platform. You manage tasks, projects, clients, and team workflows inside it. Think of it as the command centre — the place where work lives.
Zapier is a no-code automation platform that connects apps. It acts as the plumbing between your tools — moving data, triggering actions, and keeping systems in sync without anyone touching a keyboard.
Used separately, both are genuinely useful. Used together, with clearly defined roles, they run a business.
The division of labour that actually works
ClickUp native automations handle everything that lives inside ClickUp. Status changes. Task assignments. Due date adjustments. Priority updates. Notifications within ClickUp. Anything that starts and ends in ClickUp should use ClickUp's own automation engine — it's faster, more reliable for internal triggers, and doesn't consume Zapier tasks.

New client onboarding
A client signs a proposal. Zapier watches for that trigger and fires three actions: creates a new ClickUp project from a template, adds the client's details to a custom field, and sends a welcome email via Gmail. Inside ClickUp, native automations take over: tasks are automatically assigned, a kickoff call scheduled, and the client notified when each milestone is completed.
Lead follow-up without the manual work
Someone fills in your website contact form. Zapier creates a task in your ClickUp Sales list with all their details pre-populated. ClickUp native automation fires: task assigned to you, priority set to High, reminder scheduled for 24 hours later. If the task moves to "Proposal Sent", Zapier triggers again — adding the prospect to your HubSpot CRM pipeline at the right stage.
Invoice triggered by task completion
Your delivery team marks a project as Done in ClickUp. A native automation notifies the account manager. When they mark it Delivered, Zapier picks up that status change and creates a draft invoice in Xero with the client's details and agreed amount. From task completion to invoice draft: ninety seconds. Previously: three days of chasing.

- Form submission → ClickUp task: any web form that generates a new piece of work should automatically create a ClickUp task with the right fields pre-filled.
- ClickUp status change → CRM update: when a deal or project moves to a key status in ClickUp, reflect that in your CRM automatically.
- ClickUp task completed → next action: when a task is done, Zapier handles what comes next outside ClickUp — a Slack message, follow-up email, invoice, or calendar event.
