What Happens When You Switch ClickUp or Zapier Consultants?
What actually happens to your ClickUp workspace and Zapier automations when you switch consultants, and how to switch without losing anything.
When you switch ClickUp or Zapier consultants, what happens to your existing automations depends entirely on whose accounts they were built in. If your workspace and your Zapier account were always yours — with the previous consultant added as a collaborator rather than the owner — nothing breaks: you remove their access, add the new consultant, and everything keeps running exactly as it did. If the previous consultant built everything under their own login, the picture is worse: automations can be switched off, workspaces can become inaccessible, and undocumented logic has to be reverse-engineered from scratch before anyone can safely change it. The switch itself isn't the risk — the ownership structure you inherited is.

I've inherited enough messy handovers to know the pattern: it's rarely the automations themselves that cause the problem when a business switches consultants, it's finding out — usually mid-project — that nobody actually owns what was built. What happens to your ClickUp workspace when you switch consultants?
ClickUp workspaces belong to whoever is the workspace owner — not whoever built the automations inside it. If you were set up correctly from the start, you or your business are the owner, and the previous consultant was added as a guest or member with edit access. Removing them from Workspace Settings > Members takes seconds, and every List, Automation and dashboard stays exactly as it was. The problem case is a workspace actually owned by the consultant's own account, with your business operating inside it as a guest — in that situation, "switching" means either negotiating a transfer of ownership or rebuilding somewhere you actually control. Check who the workspace owner is in Settings before you agree anything with a new consultant.
What happens to your Zapier automations when you switch consultants?
Same principle, different mechanism. Zaps live in whichever Zapier account created them. If your Zaps were built inside your own Zapier account — the correct way to do it — a new consultant can be added as a team member on your account and every Zap keeps running without interruption. If they were built inside the previous consultant's personal Zapier account "on your behalf," those Zaps stop the moment that consultant's account is closed, suspended, or simply stops being paid for. Zapier has no built-in way to transfer individual Zaps between accounts — the closest thing is exporting the Zap's structure and rebuilding it, which is exactly the kind of unpaid reverse-engineering work a bad handover creates. What's actually the biggest risk when switching automation consultants?
Undocumented logic, not broken accounts. Even when ownership is clean, a workspace or Zap built with no notes on why a filter exists, why a step was added, or what a custom field is actually for leaves a new consultant guessing — and guessing near live business data is how things quietly break weeks later. A genuine handover document, covering what was built, why, and what depends on what, matters more than who technically owns the account, because it's the difference between a new consultant improving your system and a new consultant cautiously avoiding touching most of it.
How do you switch consultants without losing anything?
- Confirm ownership first. Check the ClickUp workspace owner in Settings and the Zapier account each Zap lives in, before agreeing anything with a new consultant.
- Request a handover document, not just access. Ask the outgoing consultant for a written summary of what was built, why, and any dependencies — not simply login credentials.
- Transfer or duplicate before removing access. Move ownership, or have the new consultant duplicate or rebuild critical Zaps and Automations, before the old consultant's access is revoked.
- Test everything live before going all-in. Run each automation once with the new consultant watching, so nothing has quietly stopped working before anyone notices weeks later.

Do my ClickUp automations stop working if I switch consultants?
Not if your workspace was always owned by you or your business. If the previous consultant owned the workspace itself, switching can mean losing access entirely until ownership is resolved.
Can Zapier automations be transferred to a new consultant?
Zaps can't be transferred between accounts directly. If they were built in your own Zapier account, adding a new consultant as a team member keeps everything running; if they were built in the previous consultant's account, they'll need to be rebuilt.
