Can You Run Multiple Businesses in One ClickUp Workspace?

September 28, 2026

Yes, ClickUp can run more than one business from a single Workspace. Here's how to structure it properly, and when separate Workspaces make more sense.

Yes — ClickUp supports running more than one business from a single Workspace, using separate Spaces for each business and permissions to keep them apart, and plenty of agency owners, portfolio operators and people running a side business alongside a main one do exactly this. It works well for keeping billing and admin in one place, but it isn't the right call for every situation: once client-facing guests, sensitive reporting, or genuinely different teams are involved, the case for separate Workspaces gets a lot stronger.

I'm Jack Lenton, a ClickUp Verified Consultant and Zapier Silver Solutions Partner running Toki, an automation consultancy based in Norwich. This comes up more than you'd expect — usually from someone running a consultancy alongside a product business, or a holding company with two or three small operations underneath it. Here's how to structure it properly, and where it stops making sense.

How do you structure multiple businesses in one ClickUp Workspace?

The reliable pattern is one Space per business, each with its own Folders, Lists and permission settings, rather than mixing everything into shared Spaces and relying on people to stay in their lane. Give each business its own set of Custom Fields and statuses too, even if they look similar at first — businesses drift apart over time, and shared fields quietly become a mess once one business needs something the other doesn't. Keep a single "Ops" or "Admin" Space outside both for anything genuinely shared, like your own internal tasks.

What are the risks of running multiple businesses in one ClickUp account?

Three, mainly. Guest and permission bleed-through — a guest added at the wrong level can sometimes see more of the Workspace hierarchy than intended if permissions aren't set deliberately at the Space level. Reporting confusion — Workspace-wide dashboards and time reports mix both businesses unless you're disciplined about filtering by Space every time. And billing — ClickUp charges per seat at the Workspace level, so anyone with access to either business is a seat on the whole Workspace's bill, even if they only ever touch one Space.

When should you use separate ClickUp Workspaces instead?

Once external clients or contractors need guest access to only one of the businesses, once the two businesses have genuinely different teams with no crossover, or once you need entirely separate billing for accounting reasons, separate Workspaces are usually the safer structure — even though it means paying for and administering two of everything. The single-Workspace approach earns its convenience when it's mostly you, and maybe a small team, working across both; it stops paying off once other people's access needs start conflicting.

How do you keep permissions clean across multiple businesses?

  1. Create one Space per business from the start. Don't retrofit separation later — untangling shared Folders after the fact is far more work than starting clean.
  2. Set Space-level permissions explicitly. Don't rely on default Workspace permissions; confirm who can see each Space individually, especially before adding any guest.
  3. Add guests at the Space or Folder level, never the Workspace level. A guest added at the wrong level can see more than intended — always add access at the most specific level ClickUp allows.
  4. Filter every report by Space. Build Workspace dashboards to default to a single Space's data, so figures from one business never quietly blend into the other's reporting.

Frequently asked questions

Can guests see both businesses if I run them in one ClickUp Workspace?
Only if permissions are set at the Workspace level rather than the Space level. Adding guests at the Space or Folder level keeps their access limited to the one business they should see.

Does running two businesses in one Workspace cost more than two separate Workspaces?
Usually less, since ClickUp bills per seat per Workspace and running two Workspaces means two separate seat counts, even for people who work across both businesses.

Is it better to run multiple businesses in one Workspace or use separate Workspaces?
One Workspace works well when it's mainly you and a small team across both; separate Workspaces make more sense once external clients need guest access, or the businesses need fully independent billing and reporting.
