The invoice that arrived without a warning
A small UK agency. Eight full-time staff. A handful of contractors added to ClickUp tasks over the past year. Annual renewal comes around and the invoice is nine times last year's amount. Same team. Same workflows. Nothing obviously changed.
This is not a hypothetical. Verified Capterra reviews, Reddit threads, and ClickUp's own feedback forum documented bills jumping from £144 to over £1,200 in a single cycle. One person described discovering the change while on medical leave. Another found out when finance flagged an unexpected charge. Nobody received a clear email explaining what happened.
If you are on a paid ClickUp plan and have ever added a contractor, freelancer, or client collaborator to your workspace, this post is essential reading before your next renewal.

The three types of ClickUp user — and why it matters
ClickUp has three distinct categories of workspace user, and the billing treatment of each is where most businesses get caught out.
Members
Full paid users. Owners, admins, and anyone with full workspace access. Every member costs you the full per-seat subscription price. This is the rate you see on the pricing page.
Guests — view only
Completely free. Unlimited. They can see what you give them access to but cannot edit, comment, or be assigned tasks. A client viewing a project board or a stakeholder reading a doc. View-only guests do not count against your seat limit.
Guests — permission controlled
This is the category where bills explode. Permission-controlled guests can edit and comment on specific items they have been invited to. Each paid plan includes a set number of these free permission-controlled guest seats, calculated based on how many full members you have. Once you exceed that allocation, additional permission-controlled guests are automatically converted to paid limited members and charged at the full member rate.
The trigger nobody tells you about
Two actions will convert a guest to a paid limited member without any confirmation prompt:
- A guest authenticates using your company email domain or your corporate SSO system. Even if they only have comment rights on a single task, they are automatically reclassified as a limited member and charged at the full member rate.
- You exceed your plan's permission-controlled guest allocation. The Business plan includes 10 base permission-controlled guest seats plus 5 additional seats per member. Go over that and the overflow guests become paid limited members.
Per ClickUp's own help documentation: limited members are charged the same subscription fee as full members. The action that triggers the conversion — assigning a task to a contractor, granting comment rights, adding a collaborator with a company email address — is the same action teams had been doing for months. Nothing about the workflow changes. The billing category does.
How to audit your workspace right now
This takes under 10 minutes and could save you hundreds of pounds at renewal.
- Go to Settings then Members in your ClickUp workspace
- Sort by Role — look specifically for anyone listed as Limited Member
- For each Limited Member, ask: do they need edit or comment rights, or would view-only access serve their actual purpose?
- For contractors or freelancers with company email addresses, check whether they authenticated via SSO — if so, they are likely billing as limited members regardless of permission level
- Check your permission-controlled guest count against your plan allocation. Business plan: 10 base seats plus 5 per member
For any limited member who only needs to view work, downgrade them to view-only guest. This removes the billing. For contractors who need to interact with tasks, add them using a personal email address rather than a company domain to avoid SSO auto-conversion.
What the plans actually cost in 2026
- Free Forever: £0, unlimited tasks and members, 100MB storage, 100 automation runs per month
- Unlimited: £7 per user per month annual, unlimited storage, 1,000 automation runs, basic integrations
- Business: £12 per user per month annual, 10,000 automation runs, advanced features, most small business teams land here
- Business Plus: £19 per user per month annual, custom roles, not shown on the main pricing page but available as an in-app upgrade
- Enterprise: custom pricing, typically £25 to £40 per user per month
The number that catches most teams: ClickUp Brain AI is a separate add-on at £9 per user per month, charged on every paid member in the workspace. Not per AI user. Per member. A 20-person team adding Brain pays £180 per month even if only four people ever use it. Brain is all or nothing — you cannot enable it for specific members only.
If you have already been hit with an unexpected bill
ClickUp's CEO publicly stated on Reddit that they are willing to work with affected customers one-on-one to make exceptions. If your bill increased due to the guest-to-limited-member reclassification, email help@clickup.com and reference the guest reclassification policy change. Post publicly in the ClickUp subreddit. Several teams have reported receiving grandfathered rates or credits by escalating directly rather than going through standard support.
What to do at every renewal
- Run the members audit above at least 60 days before renewal
- Downgrade any limited members who do not need edit or comment access to view-only
- Check whether any guests have authenticated via company SSO and reclassify them
- If you are planning to add Brain AI, calculate the full cost before enabling it workspace-wide
- If you have 50 or more users, request a quote directly from ClickUp's sales team rather than self-service purchasing — volume discounts of 17 to 37 percent are negotiable
