Trades work has a rhythm automation loves: an enquiry comes in, a quote goes out, a job gets scheduled, the work gets done, an invoice gets raised, payment gets chased. It's the same chain every time, with the same handoffs — and every handoff is currently a moment where you retype something into a different place. Remove the retyping and you remove most of the admin.
There's also a competitive edge hiding here. In the trades, the business that quotes fastest often wins the job. If your automation gets a quote out while a competitor is still finding their notebook, that speed converts directly into work.
The three workflows to automate first
1. Enquiry to quote. A customer enquiry — from a web form, a missed call log, or an email — gets captured automatically, logged, and turned into a quote-ready job with the details already filled in. No enquiry sits forgotten in a voicemail. The faster your quote, the more you win.
2. Quote to scheduled job. When a quote is accepted, the job lands on a shared team calendar automatically, with the customer details and site address attached. This is the workflow that replaces the wall planner and the "it's in my head" scheduling that falls apart the moment you're busy. 3. Job done to invoice. Mark a job complete and the invoice drafts itself in your accounts package, ready to send — instead of being retyped from a scrappy job sheet at the end of a long week. This is the one that gives owners their evenings back.
You don't need to go paperless overnight
A worry I hear a lot: "my business runs on paper and phone calls, this isn't for me." It absolutely is — those businesses often gain the most. The trick is one small change: give the process a digital starting point, usually a simple enquiry form, so the automated chain has something to react to. You keep working the way you work. You just stop copying the same details four times.
What to keep human
The quote price, the site visit, the judgement about whether a job's worth taking — all human. Automation handles the admin wrapped around those decisions: capturing the enquiry, scheduling the visit, chasing the acceptance, raising the invoice. The skilled bit stays yours.

I'm a one-person operation — is automation overkill? Often it's the opposite. Sole traders have no admin team, so every minute saved is your own. Automating quotes and invoices can hand a one-person business back several evenings a month.
