The parts of a solicitors' firm that benefit most from automation are the repetitive admin around opening and progressing a matter — chasing documents from clients, sending status updates, and turning key dates into tasks with owners and deadlines — not the legal judgement itself. Most UK firms already run a practice or case management system (Clio, LEAP, Osprey and similar), so the opportunity usually isn't replacing that system. It's connecting it to the tools your team uses day to day and automating the chasing and handoffs that eat fee-earner and support staff time every week.

Often, yes — many practice management platforms offer a native integration, webhooks or an API, though how open they are varies by provider and by plan. The general pattern is consistent: a trigger fires in the practice management system (a new matter, a status change, an approaching key date), Zapier picks it up, and it creates or updates a task in ClickUp with the right owner and deadline attached. This needs checking against your specific platform and plan before promising full coverage, particularly where a firm's system has restricted API access.

What should a solicitors' firm automate first?

  • Client onboarding admin — turning a new enquiry into a matter-opening checklist with document chasing built in, rather than a fee-earner remembering what's still needed
  • Key date and deadline tracking — limitation dates, court deadlines and review dates turned into tasks with owners, not just an entry in a diary someone has to check
  • Matter handoff between fee-earner and support staff — so nothing depends on a verbal handover or a sticky note
  • Client progress updates — a recurring update cadence that goes out on schedule instead of whenever there's a spare moment

What shouldn't be automated?

Anything requiring legal judgement, advice, or regulated compliance work — conflict checks, client due diligence, source-of-funds assessments, drafting judgement calls and AML screening need a person and, in most cases, dedicated compliance software with the audit trail a regulator expects. Automation here should remove the admin that surrounds those processes, such as chasing the documents needed for a check, not perform the check itself. Toki doesn't provide compliance or AML tooling, and any firm should treat that distinction carefully before relying on general-purpose automation for regulated steps.
