Tables by Zapier, a Zapier database or Zapier tables records
Zapier Tables is Zapier's built-in database for the data your Zaps use, like leads, approval queues or lookup lists. Records can start Zaps, and Tables steps don't use tasks.
Zapier Tables is a simple database inside Zapier. It looks like a spreadsheet, but it's built to work with Zaps: a new or changed record can start a Zap, and Zaps can add, find and update records.
You can add button fields that start a workflow with one click, which is handy for approvals. Tables pair well with Zapier Forms, which used to be called Zapier Interfaces.
Tables steps in a Zap don't use tasks. The Free plan includes up to 2,500 records, and Professional up to 100,000. It's great for operational data, but it isn't a replacement for a full CRM or accounting system.
I use Tables for the bits of data that don't have a proper home, like an approval queue, a lead routing list or a lookup of which account manager owns which client.
It keeps that data next to the Zaps that use it, so the client can open it, see what's happening and fix a value themselves. When the data starts to need its own reports and permissions, I move it into ClickUp or a CRM.
Tables steps are free. The ClickUp step uses 1 task.
Yes, it's on the Free plan with up to 2,500 records. Professional raises that to 100,000.
No. Adding, finding or updating Tables records in a Zap doesn't use tasks.
For data that mostly feeds Zaps, Tables is often more reliable. For data people work in all day, a spreadsheet or ClickUp may suit better.
I set these up and train your team, in your own ClickUp or Zapier account.
