process automation, business automation or no-code automation
Workflow automation is using software to carry out the repeatable steps in a process, like moving data between apps, creating tasks or sending updates, so people don't have to do them by hand.
Workflow automation is getting software to do the repeatable parts of a process for you. When something happens, like a new enquiry, the next steps happen automatically: the contact is created, a task is set up and the team is told.
For small businesses it's usually built with no-code tools like Zapier, plus the automations built into apps like ClickUp. No developer needed for most of it.
The best workflows to automate are the ones that happen often, follow the same steps every time and are annoying when they're missed.
I always start with the process, not the tool. I sit with the people doing the work, write down every step, and only then decide what to automate. Automating a messy process just makes the mess faster.
Then I build in small pieces, name everything in plain English and train the team. If they can't understand it, they can't fix it, and they'll stop trusting it. When I hand over, every client gets a workflow diagram of their automations and a step-by-step guide to running them.
Start with the boring, frequent job everyone forgets.
They overlap a lot. Workflow automation often means automating the steps inside one process. Business process automation usually means joining up a whole process across teams and apps.
Not for most small business automation. Tools like Zapier and ClickUp's built-in automations are designed for non-developers.
The job that happens most often, always follows the same steps, and causes problems when someone forgets it.
I set these up and train your team, in your own ClickUp or Zapier account.
