Multi-step Zap

a multi-step workflow or a Zap with more than one action

In short

A Zap with one trigger and two or more actions. The Free plan only runs two-step Zaps, so multi-step Zaps need a paid plan.

What is a multi-step Zap?

A multi-step Zap is a Zap with one trigger and more than one action. New enquiry comes in, then the contact gets created, then a task gets made, then the team gets told. One event, several jobs done.

The Free plan only runs two-step Zaps: one trigger, one action. Zapier's pricing page lists multi-step Zaps from Professional upwards, and new accounts get a 14-day trial of Professional, so you can try it first.

Multi-step Zaps are also where the built-in tools come in. Filters, Paths, Formatter and Delay sit between your actions to make decisions, tidy data and wait. Like multi-step Zaps, Filters, Paths and Formatter need a paid plan, but none of them use tasks.

How I use multi-step Zaps with clients

Most of the Zaps I build are multi-step, because real processes have more than one step. But I keep each Zap to one job. If a Zap starts doing two different jobs, I split it, because one long Zap that does everything is the one nobody wants to touch.

Every step gets a plain English name, like Find the client in ClickUp, so the person I've trained can follow it without me.

Two-step vs multi-step

  1. Two-step New form entry, then add a row to a Google Sheet Free plan
  2. Multi-step New form entry, then Filter, then create contact, then create ClickUp task, then send email Paid plan

Same trigger. The multi-step version does the whole job, not just the first bit.

Questions about multi-step Zaps

Do I need a paid Zapier plan for multi-step Zaps?

Yes. The Free plan is limited to two-step Zaps. Multi-step Zaps start on Professional, and there's a 14-day free trial when you sign up.

Does every step in a multi-step Zap use a task?

No. Only successful actions use tasks. The trigger, Filters, Paths, Formatter and Delay steps use no tasks.

Should I build one big Zap or several small ones?

I go for one Zap per job, with Paths and Filters handling the different cases inside it. It's easier to read, easier to fix, cheaper on tasks and easier to hand over.
