the ClickUp structure, or Spaces vs Folders vs Lists
The structure ClickUp uses to organise work: Workspace, then Spaces, Folders and Lists, with tasks and subtasks inside. It's the framework everything else in ClickUp hangs off.
The Hierarchy is how ClickUp organises everything. At the top is your Workspace, which holds your whole business. Inside it sit Spaces, then Folders, then Lists, and your tasks and subtasks live in the Lists.
Spaces group big areas of work, like departments, teams or clients. Folders are optional and group related Lists. Lists hold the tasks for one project, process or pipeline. ClickUp has also added Subfolders (one level of Folders inside a Folder) for more complex setups.
ClickUp recommends one Workspace per organisation, so all your work stays visible in one place. That's good advice. Each Workspace is billed separately too.
This is why I call ClickUp a framework. Notion gives you a blank canvas, monday.com bakes you into its way of doing things. ClickUp gives you a structure to build on, and inside it you can build a CRM, a client management system or proper project management.
Getting the Hierarchy right is the first thing I do on every build, before a single task goes in. Get it wrong and people can't find anything, and they quietly go back to spreadsheets.
For Ground Tech, I built four Spaces: Sales and CRM, Marketing, Clients, and Service and Engineering. For Serene Agency, I went the other way and simplified: each client had a Folder full of separate Lists, so I merged them into one List per client with a Stage field. Fewer places to look. Same work.
Folders are optional. Lots of small teams go straight from Space to List.
No. ClickUp calls Folders an optional layer. If a Space only needs a few Lists, I skip the Folder and keep it flat.
Spaces group big areas like departments or clients. Folders group related Lists inside a Space. Lists hold the actual tasks. A List view is something else: it's a way of looking at tasks, and you can add it at any level.
Usually not. ClickUp recommends one per organisation, and each Workspace is billed separately. If you run more than one business, there are ways to keep them apart inside one Workspace.
I set these up and train your team, in your own ClickUp or Zapier account.
