ClickUp Automations

native ClickUp automations or ClickUp automation rules

In short

ClickUp's built-in rules: when something happens to a task, like a status change, ClickUp does the next step for you. Each plan has a monthly limit on Automation actions.

What are ClickUp Automations?

ClickUp Automations are rules built into ClickUp. You pick a trigger, like a status changing or a task being created, add conditions if you need them, and choose an action, like assigning someone, changing a field or moving the task.

There are ready-made templates for the common ones, or you can build your own. They're brilliant for keeping things moving inside ClickUp without anyone having to remember.

Every plan has a monthly limit on Automation actions: 100 on Free Forever, 1,000 on Core, 10,000 on Business and 1 million on Enterprise and Max. Hit it, and your automations pause until the 1st of next month. Webhook, email, SMS and integration automations need Business or above.

How I use ClickUp Automations with clients

My rule of thumb: if it happens inside ClickUp, I use a native automation. If it crosses into another app, like your CRM, inbox or accounts software, I use Zapier. That keeps each tool doing what it's best at.

I also plan native rules and Zaps together, so a busy month doesn't burn through the allowance. And I know the gaps. Native automations can't add a one-off checklist item (only a whole checklist template), for example, so I use a comment reminder instead.

A native ClickUp automation

  1. When Status changes to Client Review
  2. If Priority is Urgent
  3. Then Assign the account manager and add a comment

Stays inside ClickUp, so it's a native automation, not a Zap. Conditions like 'If' need Business or above.

Questions about ClickUp Automations

ClickUp Automations or Zapier: which should I use?

Both, for different jobs. ClickUp Automations for rules inside ClickUp, Zapier for anything that connects ClickUp to your other apps. Most of my builds use both.

What happens when I hit the automation limit?

ClickUp pauses your automations until the 1st of next month. Nothing breaks, but nothing runs either, which is worse in a way. Keep an eye on usage.

Which ClickUp plan do I need for automations?

All plans can use Automations, with a monthly limit on Automation actions: 100 on Free Forever, 1,000 on Core, 10,000 on Business and 1 million on Enterprise and Max. Webhook, email, SMS and integration automations need Business or above.
