Trendy Grandad: every lead caught, every comment rounded up
A London and New York video agency relied on one co-founder to spot new sales emails. Now leads ping Slack and HubSpot, and client feedback arrives as a tidy round-up.
No new sales email slips through
The challenge
New business enquiries landed across the team's inboxes and landing pages, and catching them mostly depended on one co-founder spotting them. Meanwhile, client feedback in Frame.io meant constant pings across a dozen projects at once.
What we built
Zapier email agents that flag interested enquiries in Slack, and landing page submissions that post to the sales channel and create HubSpot deals (live September 2025). Then a Frame.io feedback round-up in Slack, a morning update and an afternoon round-up grouped by client and project, plus a ClickUp deliverables view that tracks outstanding comments (live 10 December 2025).
The result
Sales enquiries are flagged automatically and every form submission becomes a HubSpot deal. Feedback arrives as a round-up instead of constant pings, and ClickUp shows which comments are still outstanding. Everything is still running.
Personally, saves me so much hassle and also means it's not just me responsible for catching the new sales emails.
